The five numbers worth checking weekly

Five simple reports that tell you whether the business is actually making money, in plain English.

  1. Margin: what each haul actually made you

Reports, then Margin. Margin just means what is left over after costs. This report takes what you charged for each haul, subtracts what you paid the dump and what you paid the crew, and shows what you actually kept. If a certain kind of job keeps losing money, you will see it here long before tax time.

  2. Diversion: what stayed out of the landfill

Reports, then Diversion. How much of what you hauled went to donation or recycling instead of the dump. Customers ask about this more every year, and being able to answer with a real number is marketing gold.

  3. Referral source: which ads actually bring jobs

Reports, then Referral source. Every customer gets asked how they found you, and this report adds it up: which channels bring in jobs and roughly what each new customer cost you to win. When you are deciding whether the Google ads are worth it, this is the answer.

  4. Aging: who owes you money

The Aging screen lists everyone who has not paid yet and how long they have owed you. Make the 30-day column a Friday habit and it never turns into a 90-day problem.

  5. Crew scorecard: who needs a hand

Jobs completed, photos captured, dump tickets logged, for each crew. This is not for micromanaging. It is for noticing that someone stopped taking after photos two weeks ago, and fixing that before it costs you a dispute.
